Give a CrewAI agent an email inbox

A CrewAI agent can read and answer email from its own address by adding Botmail's MCP server to the agent's mcps list. MCPServerHTTP connects to https://botmail.pro/mcp with your API key, and CrewAI turns each Botmail tool into a tool the agent can call during its task.

What you'll build

A one-agent crew that triages an inbox in draft-only mode. It reads every unread conversation and writes a reply as a draft. Nothing is sent until a person opens the review link and presses Send. That's a good default for a crew: tasks run unattended, and a model with a send button will sometimes agree to things or invent details you never gave it.

1. Get a mailbox and key

Paste this into the coding agent you already use and approve the email Botmail sends you:

2. Install

pip install crewai

CrewAI needs Python 3.10 to 3.13. This guide was tested with crewai 1.15.

The pieces:

CrewAI prefixes MCP tool names with the server, so the model sees names like botmail_pro_mcp_create_draft. The filter still uses the plain Botmail names.

4. Run it

The output lists each conversation, the draft, and its review link. Open a link to see the email exactly as it will be sent, with Send and Discard buttons; no sign-in is needed. Each draft created with reply_to_message_id goes out in the original thread when you send it.

Let it send replies

Once you trust the crew on a mailbox, unblock reply and keep the rest:

It can then answer people who wrote to it, but a first email to someone new still needs your approval. The MCP reply tool takes an idempotency_key, so a retried task doesn't answer twice if you pass a stable key such as the message ID.

Timeouts

CrewAI gives each MCP tool call 30 seconds. Botmail's wait_for_mail waits 25 seconds by default, which fits, but timeout_seconds: 30 doesn't: in testing that call failed after CrewAI's retries. Leave the default, or better, don't make a crew wait for mail at all. Start it from a webhook or from the long-poll loop in the Python guide when mail arrives.

How do I limit which MCP tools a CrewAI agent can use?

Pass tool_filter=create_static_tool_filter(...) from crewai.mcp.filters with allowed_tool_names or blocked_tool_names. Use the tool names as the server defines them.

Can a CrewAI agent draft emails for a human to approve?

Yes. Block send_email, reply, forward and send_draft and keep create_draft. Each draft comes with a review link where a person reads the email and presses Send or Discard.
